Dispense a Compounded Script
Dispense >Patient Screen > New Script screen > Options > Compounding Mixture
Overview
Formulation Template:
Current and Saved templates will appear in this drop down box. Click the arrow on the right hand side of the box to see saved templates. As you create new formulations and save them as a template, this list will grow, saving valuable time in dispensing compounded formulations.
Quantity:
Enter the final number of units to be dispensed here.
Wastage:
You may enter the wastage value in either a % or in units. Whether you enter a % or units, the corresponding wastage value will calculate automatically.
Form:
Current and Saved forms will appear in this drop down box. These forms have been created in the "CompoundPro Utility". If you want to create a new form, or edit an existing one, then you should do this from the "CompoundPro Utility".
Capsule Size:
This drop down box will only appear if the chosen form is marked "Capsule". You can change the capsule size by clicking on the arrow on the right hand side of this box, and selecting a new capsule size.
Note: If one of the ingredients on the list doesn't have a full pack statistic for the chosen capsule size, you will see a screen with Mixture Ingredient Notes. This screen notifies you of any problems with ingredients that need to be addressed. You can go directly to the stock card by double mouse clicking on the chosen ingredient.
Item:Â Name of ingredients in the current formulation.
To Add new ingredient, click on an empty row, type in ingredient name, press "Enter". If more than one ingredient matches the search criteria, select the required ingredient from the list.
To Insert a line, select the line below where you want to insert the new line, right mouse click and select "Insert Line".
To Delete a line, select the line to delete, right mouse click and select "Delete Line".
Strength in mg, Strength in g, Weight in g, Percentage:
You may choose to enter the quantity of the ingredient using any of the above quantities. By entering the desired quantity in one of these columns, the other columns will be automatically calculated.
Â
Device:Â Name of ingredients in the current formulation.
To Add a new device (eg. Syringe), click on an empty row, type in the device name, press "Enter". If more than one device matches the search criteria, select the required device from the list.
If you have entered a "Device Measure" on the device stock card, the quantity will be calculated automatically using the total quantity being dispensed. Otherwise you can enter the device quantity manually.
Save these ingredients as a Standard Formulation:Â
Once you have finished entering the current formulation, to save it as a "Formulation Template", tick this option. You will then be asked for a name for the formulation. The next time you open CompoundPro, this formulation will then become available in the "Formulation Template" drop down box.
Total weight of active ingredients:
This is the total weight (in grams) of all the active ingredients in the formulation.
Total quantity (inc. wastage):
This is the total weight (in grams) of all ingredients, including any wastage allowance.
Closed Batch, Expired Batch, No Batch:Â
If there is an issue with any of the batches of any ingredient in the list of ingredients, check the colour code which indicates any batch issues to be addressed.
Price Option:Â
This drop down box shows the CompoundPro price options as entered in the CompoundPro Utility. To select a different price option, click on the arrow on the right hand side of the box and choose the desired option. The price will automatically recalculate.
Use Custom Pricing:Â
Use this in conjunction with the custom Formulation Pricing that can be set up in the CompoundPro Utility. eg. For Formulation "PROGESTERONE 150MG CR CAPSULES" you can set Qty 100 = $100.00, Qty 150 = $130.00 etc.
Text:Â
This is the description that will appear on the script label. If you want to alter this description for a Compounded script, you should always alter it here rather than in the "Drug" box on the script screen.
Use the name of the Standard Formulation:Â
Tick this option of you wish to override the description with the formulation name (in the above case this would be "PROGESTERONE 150MG CR CAPSULES", as this is the name of the formulation template).
Exclude quantity from label:Â
Tick this option if you DO NOT want the quantity to print on the script label. This is particularly useful for liquid formulations. eg. Formulation is called "WART PAINT 1L". If you tick this option "WART PAINT 1L" will print on the script label rather than "1000 WART PAINT 1L".
How is this description made up?
It is made up of the name(s) of any active ingredients and their quantities (in the above case "PROGESTERONE MICRONISED 150mg) and proceeded by the Form Name (in the above case "CAPSULE #1").
If the active ingredients and/or form names have "Short" names, these will be translated to the description. This saves label space, and gives the user flexibility to remove unwanted text.
How does the description for creams and gels differ?
If the current form has either the word "GEL" or "CREAM" in it, then the active ingredient quantity will be expressed as a percentage instead of in units.
Looking at an example, we arrive at the description of "PROG 2.00% LIP CREAM".
This is made up of the following:
Active Ingredient = "PROGESTERONE WETTABLE".
"Progesterone Wettable" has a short name on its stock card. "PROG"
Form Name = "LIPODERM CREAM", therefore the percentage figure is used on the description rather than the Strength in mg value = "2.00%".
Form Name "Lipoderm Cream" has a short name = "LIP CREAM".
So the description = "PROG 2.00% LIP CREAM".
Buttons
Print:Â Prints a Formulation Sheet
OK: Closes the CompoundPro screen, returning you to the main script screen with the formula entered in the drug box.
Cancel:Â Closes the CompoundPro screen, returning you to the main script screen with a blank drug box (i.e. nothing entered).
 Editing a CompoundPro Script:
To edit an existing CompoundPro Script, edit the script as normal, then open the CompoundPro screen either using the keyboard shortcut (Ctrl+Z), or menu Options - CompoundPro Mixture.
RxOne Stock Cards and CompoundPro
When creating a new card that will be used for Compounding, it must be created as a drug card (answer "Yes" to question "Will this stock item be dispensed as a drug?").
Tick "Ingredient" tick box. Â You will now see a tab called "Compounding".
Compounding Tab explained
Batch Tracking List
The batches on the Batch Tracking list are the batches of this item that you have in stock. "Open" batches are highlighted green. "Closed" batches are highlighted red.   • There should only be one batch open at any given time. This is because when dispensing a mixture that includes this ingredient, CompoundPro will take the stock from the open batch, as it assumes that you will only have one batch open (ie. being used) at any one time.   • If the list of batches is showing more than one open batch, you should close those that aren't currently being used. To open and close a batch on the Batch Tracking list, click on the box in the "Closed" column. To add a new batch, click "New Batch"  Â
New Batch Details: "Cost" should be the cost of the batch per gram. "Quantity" should be the quantity of the batch in grams. When you've finished entering new batch details, click "Save".   • The new batch will now appear on the Batch Tracking list. The new batch will be open by default. Close other open batches or close your new batch as appropriate. • The Stock on Hand figure on the "Stock Information" tab of the stock card will equal the total quantity of stock on hand of all batches (ie. If you enter a new batch of 200000 grams then the SOH figure for this stock card will automatically increase by 200000 - thus giving a new SOH figure = 300000 grams).  Â
Compound Ingredients • If this Compounding ingredient is made up of other ingredients, then you should enter them here. • Note: To be able to add an ingredient to a Compounding stock card, the ingredient being added must first have it's own stock card.  Â
To enter an ingredient against a Compounding stock card: Click "Add". Type in the name of the ingredient to add. You can only add an ingredient that has at least one batch. • You will then be prompted for the amount of the chosen ingredient that is contained in the current Compounding ingredient (ie. you may be adding 100 grams of the chosen ingredient to the original Compounding ingredient). • Items in the Compound Ingredients list that are highlighted red indicate that there is no current batch for this ingredient (ie. the open batch is "Expired").  Â
Other Items on Compounding Tab Short Name: Product Name abbreviation that will appear on the script label. If nothing is entered here, the full stock card trade name will appear on the script label.Â
Active:Â Tick this if this item is an Active ingredient (eg. Progesterone Wettable).Â
Base: Tick this if this item is a Base ingredient (e.g. Base Troche Cream).Â
Excipient:Â Tick this if this item is an excipient (e.g. Tumeric).Â
Liquid:Â Tick this if this item is a liquid (eg. Flavour Aniseed Oil).Â
Active Ingredient Displacement %: If this item is non-active, enter the amount of active ingredient that this item will displace (e.g. Base MBK Active Ingredient Displacement = 80%).Â
Device: Tick this if this item is a device (eg. Syringe). Enter the device measure if appropriate (eg. "20" for a 20ml syringe). This measure is used by CompoundPro to calculate how many devices will be required (eg. If Compounding mixture quantity = 100, then CompoundPro will calculate that five 20ml syringes will be required).  Â
Full Pack Statistics (for Capsule ingredients)   • Where appropriate, full pack statistics for an item are entered here.  Â
To enter full pack statistics: Click on the "Size" column. Select the desired size from the drop down list (e.g. #6). Click on the "Measure" column. Enter the full pack measure for this capsule size (e.g. 252). Enter this figure in grams  Â
CompoundPro and the CompoundPro Utility.   • To open this utility, from the RxOne Start Menu go to Tools - CompoundPro - CompoundPro Utility. Or: When Dispensing a Compounding script, menu, Tools - CompoundPro Utility or keyboard shortcut Ctrl-U. • This utility allows you to create and save forms that you will commonly dispense in CompoundPro (eg. "Troches", "Lollipop", "Capsule #1", "Capsule #0"). • You can select a "default" base ingredient, quantity, wastage value, blank base weight (where appropriate), capsule size (where appropriate), device (where appropriate), and preparation time. • This will save you time in that when dispensing Compounding scripts using these forms, the base, quantity, wastage, capsule size, blank base weight etc. will automatically appear. Note that these can be edited on the CompoundPro screen if desired.  Â
Form Name:Â Used to identify this form within CompoundPro.Â
Short Form Name:Â Form Name abbreviation that will appear on the script label. If nothing is entered here, the full form name will appear at the end of the mixture name.Â
Base:Â Default base ingredient.Â
Quantity:Â Default quantity.Â
Wastage:Â Default wastage.Â
Blank Base Weight:Â If this is know, enter the value here, or for forms where this isn't relevant, enter as "1".Â
Device: Default device (eg. Syringe).Â
Preparation Time: If you have included "labour" component in your pricing formulas, this value is used as part of your mixture pricing.  Â
Capsules: For capsule forms, tick "Capsule?" tick box. Select the Capsule Size. When this for is selected in CompoundPro the capsule size will default to this size. If you don't enter a default size then that's fine, as you can also select capsule sizes when dispensing a script with CompoundPro.
CompoundPro Utility Pricing Options.
Standard Pricing:Â Standard pricing is based on the quantity of the ingredient(s) being dispensed and the unit cost (ml or g) of the open batch for the ingredient being dispensed.
You can create an unlimited number of pricing options. • These pricing options will appear on the CompoundPro screen in a drop down box next to the "Price". • You may choose a different price option at any time when dispensing a Compounding script.  Â
Other options explained:Â
Device Cost • Select "x" (multiply) or "+" (addition) option. • Enter value to Multiply or Add by.       e.g. Cost x 2 will price any devices in the mixture at: Device cost x 2       and add this to the total mixture price.  Â
Formula Cost • Select "x" (multiply) or "+" (addition) option. • Enter value to Multiply or Add by.       e.g. Cost x 2 will price the ingredients on the mixture at: Ingredient cost x 2      and add this to the total mixture price.  Â
Other variables • Select "Labour Cost (per hour)" option and enter your desired labour cost. • If you entered a "Preparation Time" on the chosen form, then total mixture price will include Mixture Cost + (Prep Time * Labour Cost).  Â
Available price options: Save: To edit a price option, select from this list, change any variables, and click "Save". New: Click this to create a new price option. Delete: Select a price option from the list and click "Delete" to remove it.  Â
Name and Details   Here you can edit a Price Option name, and see the pricing option formula of the selected pricing option.  Â
Custom Pricing   Custom pricing is a simpler form of pricing in that it simply uses a price that has been set for a specific final quantity of the formulation being dispensed (ie. the pricing isn't calculated from each ingredient in the formulation).   Â
CompoundPro Ingredient Batch Labels   Batch Labels can be printed from a stockcard. From the RxOne Start Menu, go to Tools, Printer Setup to assign a printer for 'Ingredient Batch Labels’. Once a printer has been assigned you can print the Ingredient Batch Labels from the stockcard. The stockcard can be accessed by double clicking into the ingredient from the formulation page. Click on ‘CompoundPro’ tab in the stockcard then double click the batch to print the ingredient batch label. The Ingredient Batch Label will print a barcode which can be used for the ‘Check Ingredient Barcode’ function.          You can also check the ingredient barcodes by scanning either the product barcode (the official EAN barcode on the product itself) or the batch barcode (that can be printed from the Batch Details screen in the stockcard). Once the ingredient is checked the item will be marked as ‘scanned’ and appeared green.    Â
Balance Settings
You can edit the balance setting by clicking ‘Balance Settings’ from the formulation page then click ‘Activate Balance(s) and Edit Settings’
You can have up to 3 balances activated. Once the balance is activated, you can go back to the formulation page and use the drop down box to choose a current balance
The "Tare" column will also show on the formula sheet if you chose the option ‘Activate Tare and Weigh’. When the balance is tared (sets to 0) this will be recorded in the ‘Bal. Tare’ column.
Connection settings when connecting certain types of balances to CompoundPro
Some brands that have successfully integrated with CompoundPro are A&D, Ohaus and Vibra.
These are the options that show in the drop down box on the CompoundPro Balance Settings screen -
"Select Balance Brand" from the drop down box, e.g. Vibra
"Com Port" should be "1"
"Baud Rate" should be "1200"
"Port Settings" should be "n,8,1"
Allowable Variance for Balance 1- all fields below set to "0"
"Activate Weigh Only" radio button highlighted
Compounding Reports  Â
From the RxOne Start Menu go to Tools, CompoundPro,  CompoundPro Reports. You can report by All Script Records, Script Number, Batch number or Formulation  Â
Ability to attach Instructions / SOP (Standard Operating Procedures) to Formulations
To add a SOP, go to RxOne Start Menu, Tools, Utilities, Other Utilities, RxOne Editor. Scroll down to ‘SOPS’.
Click ‘New’ to create a new SOP, enter the name of the SOP and click ‘Update SOP’ to attach a PDF. Select ‘View SOP’ to preview and ensure the attachment is successful. Click ‘Save’ to finish.
A mixture SOP can be any type of document(s) that are related to the formulation. You can have more than one SOP attached to a formulation including a general SOP such as a cleaning SOP, weighing SOP etc.
Please note: The document needs to be in a PDF format so you may need to convert your SOP from a Word document to a PDF first.
Link a SOP to a Formulation
From the RxOne Editor, select ‘Link Formulation to SOP’. Select the appropriate formulation and the SOP you wish to link to and a start date. Click ‘Save’ to finish.
Ability to link a Procedure to Formulations
This works similar to SOPs except this allows you to type the instructions instead of attaching a PDF. To add a procedure, from RxOne Editor select ‘Formulation Procedures’, enter the procedure name, instructions and number the steps to arrange the order of the steps. Once the procedure steps are created, use the ‘Link Formulation to Procedure’ in RxOne Editor to link the procedure created to a formulation.
View the Formulation SOP in Dispense
On the CompoundPro screen, load the template on the screen and click the ‘Mixture SOP’ tab to view the SOP.
Check Ingredient Barcode before Weighing
The program will prompt you to scan to check the ingredient barcode before entering the weight of each ingredient. This reduces the risk of mixing the wrong ingredient to the compound. The ‘Check Drug Barcode’ screen will show immediately when you click on the ‘Bal. Weight’.
Check Batch Barcode after Dispensing
After finishing the dispensing of a script using a Batch Stockcard, the program allows you to scan to check the barcode of the batch you used.
Select ‘Scan Drug Barcode’ on the RxOne Dispense screen to bring up the scan box and scan the barcode that is on the dispensing label. You can also scan the dispensing label barcode directly into the search box on the top of the screen. This will bring up a list of script(s) for the patient. You can then scan the Batch Barcode of the product you used to dispense the script. The ‘Scanned’ column will be ticked upon a successful check and the scan box will automatically disappear when all of the scripts under the patient are checked.Â
