Minor Ailments Service

From 12 June 2023 approved pharmacies will be able to provide claimable treatments for minor ailments. The following patient groups are eligible for this service:

  • a child under 14 years of age

  • a whānau member of a child under 14 years of age, with the same symptoms

  • a holder of a Community Service Card (CSC)

  • Māori and Pacific people.

SCRIPT CATEGORIES

Claiming is done via a dispensing in RxOne under special script categories of
C1 – for patients with Community Services Cards

C3 – for patients not enrolled with their PHO

C4 – for all other patients

The new categories will be created automatically in RxOne.

The following products will be in RxOne as drug cards and only approved pharmacies will be able to dispense these under the Minor Ailments Service.

*** Although these Stockcards may exist in your system already, they would have been created for retail sales only not for the purposes of the Minor Ailment Service. Therefore, a second version may be created in your system (with the same PLU). This is properly set up for the Minor Ailments Service.

Notes: Please ensure the Retail Prices on Minor Aliment Consultation stockcard and the stockcards marked as *** on the above list are set to $0.00

DISPENSING

To enable Minor Ailment Service, go into RxOne Options – Disp Switchboard and tick all the C1, C3 and C4 contracts.

When dispensing the claimable product enter the following details into the respective fields:

  • Rx category - C1, C3 or C4 (Note: do not use these as patient categories)

  • Doctor - The pharmacist providing the service. Make sure you enter your Registration number in the Prescriber Number and select ‘Pharmacist’ as doctor type.

  • Drug – Name of product.

  • Instructions – Instructions for product.

 

CLAIMING

The reimbursement for this service is claimed through two channels

1) SmartClaim – dispensing for all products above except those marked with *** will be paid through your usual online pharmacy claims.

2) Online Portal – This online webpage will be used to claim the Minor Ailments Consultation Fee as well as products marked with ***

The online portal and the URL to access it will depend on which region you are located in.

When you receive the URL for your respective online portal, you can add it to the ‘Links’ section in the Menu Bar of RxOne Dispensary for easy access. To do so, follow these instructions:

1) Go to ‘RxOne Editor’ and double click on ‘URLS’

2) Enter the URL in the ‘URL’ column and add a description e.g. “Minor Ailment Online Portal”

3) Exit and Restart RxOne Dispensary. Click on ‘Links’ to see the URL you added

 

Please note: the aforementioned ‘Minor Ailments Consultation’ Stockcard does not get claimed. It currently exists for internal pharmacy staff to keep records and to reconcile payments.

RECONCILIATION

To see how many Minor Ailment consultations have been done over a period of time, use the “Drug Disp History/IMMP” report.

1) Search for “Drug Disp History/IMMP” in RxOne

2) Enter in the date range and tick “Prompt to select individual stockcard on OK”

3) Select the “Minor Ailment Consult” Stockcard in the next screen and press OK

4) The results will show the total number of dispensings and individual dispensings
